Work Order Document

A work order document provides important details about goods and services you provide. Usually the document includes information that help the person or people who will be fulfilling the work order to know exactly what the customer wants done or wants delivered, including how many units and details relating to things such as size, shape, color and other important options.

A work order (known as works order outside of the United States because the work is produced in a manufacturing area known as the works) or job order (sometimes job ticket or work ticket, as it often has some type of ticket attached) is an order received by an organization from a customer or client, or an order created internally within the organization. A work order may be for products or services.

Work Order Form Layout

Our work order template is designed with the above guidelines in mind. On the top of the invoice form, you can find a default LOGO image, which you can replace with your own LOGO image. Next to the LOGO image is the section for your own company information, such as company name, address, city state and zip, etc. At the right-hand side there are two important fields, a date field, and an order# field.

Following is the customer information section titled with 'Bill To', as you can see on most of the free invoice templates available on our site. Here you can detail the customer #, name, address, city state and zip.

The next section offers several fields that are designed specially for this work order template, including 'purchase order #', ' Technician', ' Date Completed', ' Vehicle', ' Hours Worked', ' Travel Time', ' Type of Equipment', ' Model', '' Serial Number', and a big area tilted with ' Work Requested' with which you can detail the work to be done.

On the body section the work order template offers 5 columns. The first column is titled with '#', where you can simply enter a line number, or a product# or service item#. The next several columns are 'Description', 'Quantity', 'Unit Price', and 'Line Total'. The line totals are calculated automatically using Excel formulas.

On the form bottom there is a ' Remarks and Comments' section where you can enter additional comments about the order. To the right of ' Remarks and Comments' is the summary section, including subtotal, total, taxes, etc. Following are 3 fields for manually writing, ' Received By', 'Date' and ' Signature'. Print and PDF document

Once you entered the required information on the work order form, simply issue the print command in your Excel to get a hard copy. Since it is an Excel-based work order template, you can easily adjust various print options using the Page Setup and Print dialog boxes of Excel.

The work order template itself does not generate PDF format document. To create a PDF format work order template so that you email it to your customer or client, download and install a free add-in program for your Office/Excel, such as PrimoPDF. Microsoft also has free add-in program for generating PDF documents from Office, named 'Microsoft Save as PDF or XPS'.

Since this is a service invoice, it does not use 'Ship To' fields. Instead, it offers a group of 'Site Address' and one additional 'Job Address' field to let you detail the address the service performed.
